Grants Program Administrator

The Grants Program Administrator will execute and monitor the implementation of Foundation grants and ensure compliance with programmatic and fiscal requirements. The primary role will be to coordinate and oversee the grant funds, and the management process. This includes contracting with community partners (i.e., third party vendors), monitoring project progress, supporting technical assistance needs, data collection and performance reporting.

The current work environment is primarily hybrid (2 days a week in office), with some required meetings taking place at the Foundation’s office. This position reports to the Chief Executive Officer.

Primary Responsibilities:

  • Coordinate the Foundation’s Grants Program to include the following: assist in development and implementation of detailed project plans; administer contract activities with third party vendors; serve as the primary point of contact for third party vendors; link third party vendors to technical assistance; monitor and track progress towards achieving project goals; create and maintain project documentation; coordinate training opportunities, communication and information dissemination for program staff and key partners.

  • Write and submit program summaries, inquiries, and data reports.

  • Preparation and announcement of funding opportunities and continuations.

  • Facilitate grantee cohort meetings & trainings.

Grants Management:

  • Data entry, logging and tracking grant proposals and payments, creating reports, sending acknowledgement letters, creating, and maintaining electronic grant folders

  • Prepares documentation/reports according to required format of grantors

  • Provides information concerning program and explains the application process

  • Links grantees to technical assistance

  • Communicates with grantees and subgrantees to monitor their work towards grant completion and closeout, and thoroughly documenting and reporting on project progress

  • Maintains financial accountability and compliance of grant programs through comprehensive audits, financial records, review of expenditures, and documented program outcomes

  • Perform due diligence – e.g., verification of tax status (training to be provided)

  • Coordinate with staff regarding the status of grant proposals, agreements, and active grants

  • Maintain contracts database by ensuring integrity of data

  • Ensure compliance with policies regarding electronic communication and privacy

  • Contracts management

Other Duties:

  • Assisting staff with programmatic support

  • Share grantee outcomes and experience to inform policy making

  • And other duties as may be assigned

Skills & Qualifications:

  • Bachelor’s degree or equivalent work experience

  • Grants management, project management, grant writing and data management experience preferred.

  • Computer skills

    • Competent with Microsoft Office programs: Word, Excel, Access, Outlook, Power Point

  • Ability to interact effectively within a team

  • Highly organized and strong attention to detail

  • Must be able to adjust to variable schedules and deadlines

  • Travel mandatory

Salary Range: $75,000 -$85,000
